Allocation Concept, Resource Types and Allocation Rules

The video below explains the concept of Allocation Rules. It helps you understand, and later apply the logic of Sharable and Exclusive allocations to your Company Settings. In Planisy, you are empowered to set the Allocation rules for each pair of Resource types, so that they match exactly your needs.

Allocation Rules Setting Guide

Allocation rules define the relationship between each pair of Types of resources (Type Room and Type People, for example). They specify whether allocations between the two Types are possible and regulates them.

Allocation rules are user definable and can be set by the company Sys Admin. When a new resource Type is created, by default, its allocation rules are set as “Shareable” with no limits, but they can be easily modified. When choosing to use one of the pre-set use case templates, their default is set to what we believe serves users best, but they can also be easily modified.

In the examples below, we show all the different options of Allocation Rules and provide the setting value to be used by the Sys Admin.

“Shareable” allocations

You are the Sys Admin and want to define an allocation rule between resource Types as “Shareable without limits”?

Set the corresponding value in the Resource Editor to “-1“.

Users making any number of additional allocations which overlap in time (“concurrent allocations”) will create GREEN allocations (no resource conflict detected)

“Impossible” allocations

You are the Sys Admin and want to define an allocation between resource Types as “Impossible“? Set the corresponding value in the Resource Editor to “0“.

Users will not be able to make allocations between the two Types. If they try to do so, a notification will pop up to inform them that the allocation cannot be made.

“Exclusive” allocations

You are the Sys Admin and want to define an allocation rule between resource Types as “Exclusive“?
Set the corresponding value in the Resource Editor to “1“.

Users making any number of additional allocations which overlap in time, will create RED allocations (resource conflict detected). The first allocation (GREEN) will also turn RED when they do so.

Non-concurrent “Exclusive” allocations

You are the Sys Admin and want to define an allocation rule between resource Types as “Exclusive“?
Set the corresponding value in the Resource Editor to “1” .

Users making any number of additional allocations which do NOT overlap in time with any previous ones, will create GREEN allocations (no resource conflict detected).

“Shareable up to X” allocation (with X=2)

You are the Sys Admin and want to define an allocation rule between resource Types as “Shareable up to a limit“?
Set the corresponding value in the Resource Editor to the chosen limit “X” , with “X” an integer higher than 1.

Users making allocations which overlap in time will create GREEN allocations until they reach the limit.

Beyond it, for any subsequent allocation that overlaps in time with previous ones, Users will create RED allocation (resource conflict detected).
When they do so, the previous allocations (GREEN) will also turn RED.

Allocation Rules Visual Feedback

Planisy provides a colour-based visual feedback on allocations based on 3 key colorus. When such feedback indicates a violation of allocation rules, it is up to the user to decide whether to waive or resolve the resource conflict.

Receiving a GREEN visual feedback when making allocations

An allocation you just made is GREEN?

Planisy is telling you that your allocation was performed, and no resource conflict due to any violation of allocation rules was detected.

Receiving a RED visual feedback when making allocations

An allocation you just made is RED?

Planisy is telling you that your allocation was performed, but a resource conflict due to a violation of an allocation rule detected.

Adjust the allocation to solve it.

Receiving a YELLOW visual feedback when making allocations

An allocation you just made is YELLOW?

Planisy is telling you that your allocation was performed, but a resource conflict due to a violation of an allocation rule was detected.

Check all allocations of the resource whose allocation turned yellow to analyse and resolve the conflict.
